Each detector runs independently against your Bills, Purchases, and Vendor records. Findings are ranked by estimated dollar impact.
Duplicate Payments
Bills or checks paid more than once for the same vendor and amount within a configurable rolling window. Common cause: re-imported invoices, payment portal double-submission, or miscommunication between AP staff.
Vendor Price Creep
Gradual unit-price or total-charge increases from a vendor over successive invoices. A 4% monthly increase compounds to nearly 60% over a year — almost impossible to spot invoice-by-invoice.
Category Drift
A vendor whose expense categories have shifted — office supplies suddenly appearing under software, for example. May indicate miscoding, vendor expansion, or an intentional reclassification that bypassed approval.
Unusual Vendor Activity
Spend spikes or drops that fall outside a vendor's historical norm — a statistical outlier that surfaces one-off purchases, sudden usage surges, or unexpected dormancy worth investigating.
Approaching Renewals
Subscription or contract payments coming up within 30 days. Gives you time to review, negotiate, or cancel before the charge auto-renews — especially useful for annual contracts buried in the ledger.
What data does SpendSentry read?
SpendSentry reads Bills, Bill Payments, Checks, Expenses, Purchase Orders, and Vendor records from your QuickBooks company. It does not read invoices, payroll data, inventory adjustments, or journal entries.
Secure & read-only
SpendSentry connects with Intuit OAuth 2.0 and requests read-only access. OAuth tokens are encrypted at rest with AES-256-GCM, every customer is isolated by row-level security, and all traffic is served over TLS. We never write to your books, sell your data, or use it to train external models.
