Frequently asked questions

Everything you need to know about SpendSentry before connecting QuickBooks.

Is SpendSentry read-only? Will it change anything in QuickBooks?

Yes — SpendSentry is entirely read-only. We connect via Intuit OAuth 2.0 and only request read access to your Bills, Purchases, and Vendors. We never write to, modify, or delete any data in your QuickBooks company.

What exactly does SpendSentry detect?

SpendSentry runs five detectors against your spend ledger: (1) duplicate payments — the same vendor and amount paid more than once; (2) vendor price creep — gradual unit-price increases that compound over time; (3) category drift — expense categories that shift unexpectedly; (4) unusual vendor activity — spend spikes or drops outside historical norms; and (5) approaching renewals — subscription or contract payments coming up for renewal.

How is the estimated savings figure computed?

Each finding carries a recoverable or avoidable dollar amount. Duplicate payments show the duplicated amount directly. Price-creep findings show the cumulative overcharge versus a baseline price. Renewal findings show the annualized cost of the contract. These per-finding amounts are summed into a total estimated savings figure shown on your dashboard.

What QuickBooks permissions does SpendSentry need, and is my data secure?

SpendSentry requests read access to Accounting data (Bills, Purchases, and Vendors) via Intuit's standard OAuth 2.0 flow. OAuth tokens are encrypted at rest with AES-256-GCM, every customer's data is isolated with row-level security, all traffic is TLS-encrypted, and we never sell your data or use it to train models.

Is there a free plan?

There's no perpetual free tier. Every plan starts with a 14-day free trial (no credit card), and there's a public live demo you can explore right now. After the trial, choose Starter ($49/mo) for SpendSentry alone with full features and one company, Suite ($199/mo) for all 11 TechForCFO tools and up to 3 entities, or Bookkeeping (from $549/mo) for the Suite plus a dedicated bookkeeper. If a trial ends without a paid plan, your dashboards stay visible read-only while changes, exports, and syncs are paused until you upgrade.

How long is my data retained?

SpendSentry analyzes the transaction history available in your QuickBooks company — typically up to 24 months depending on your QBO plan. We store findings and supporting data for as long as your account is active. When you disconnect a company or close your account, your data is deleted within 30 days.

Can I cancel anytime?

Yes. Manage or cancel your subscription from the billing portal at any time. Your access continues through the end of the current billing period, and you can reconnect or resubscribe at any time.

Which QuickBooks entities does SpendSentry analyze?

SpendSentry reads Bills (including Bill Payments), Checks, Expenses, and Purchase Orders from your QuickBooks ledger, plus Vendor records for price and category baseline tracking. It does not access invoices, payroll, inventory adjustments, or journal entries.
